The problem

The solution, step by step

  1. The fleet lives in Google Sheets: vehicle, category, daily rate, bookings with dates.
  2. An n8n workflow reads incoming WhatsApp Business messages, checks real availability for the requested dates and answers with matching cars, prices and photos.
  3. When the client picks one, the bot blocks the dates in the sheet and requests driving license photo and flight number.
  4. A Gmail confirmation goes out with the contract summary; the counter receives a daily pickup list with documents already attached.
  5. The day before return, a message confirms the drop-off time and fuel policy.
