The solution, step by step
- Track members in Airtable: name, plan, start date, expiry date, last visit.
- A Make scenario runs daily and finds subscriptions expiring in 7 days and in 1 day.
- It sends a personalized WhatsApp Business message with a renewal offer (for example one month free on the annual plan).
- A second branch spots members with no visit for 21 days and sends a friendly "we miss you" message with a class schedule.
- Replies flow back to the front desk phone; Airtable logs who renewed.
- Renewal rate improves by 15 to 25 points on contacted members.
- Around 20% of inactive members come back within a month.
- Zero extra workload at the front desk once the flow is live.
