The problem

A driving school in Oujda juggles three instructors, two cars and sixty candidates with a paper notebook. Candidates call to book or cancel, slots stay empty, and nobody knows exactly how many hours each candidate has left.

The solution, step by step

  1. Each instructor gets a Calendly calendar with real slots per car.
  2. Candidates book and cancel via the link shared on WhatsApp Business; cancellations reopen the slot instantly for others.
  3. A Zapier zap logs every completed lesson in Google Sheets: candidate, hours done, hours remaining in the package.
  4. After each lesson, the candidate receives an automatic summary: hours left, next booking, exam readiness.
  5. When the theory or practical exam date is set, reminders fire at J-7 and J-1 with the meeting point.
  6. Result and estimated gains

    • Instructor idle hours drop by around 30% as cancelled slots are refilled.
    • No more "how many hours do I have left?" calls — the sheet answers.
    • Candidates better prepared on exam day, improving the first-attempt pass rate the school advertises.
